How MaintainX Is Using AI to Rethink the Recruiting Search
MaintainX’s recruiting team hires across a wide range of roles, from sales and full-stack engineering to highly specialized AI talent. For Scott Dicke, Head of Talent, and Sasha Kumar, Recruiter, each new role means quickly getting a read on the available talent market and starting to build a qualified pipeline.
Traditionally, sourcing required recruiters to carve out dedicated time to search for candidates, work through profiles, and start building a pipeline. Juicebox gave the team a way to get that work moving differently. Today, MaintainX uses 16 Juicebox Agents across sales and engineering roles, helping recruiters explore the market and build pipeline while the rest of their work continues.
Scott describes Agents as a “rocket launch” for getting a role off the ground.
“I look at these as like a rocket launch, like something that just kind of lifts you off the ground.”
Turning a Job Description Into a Talent Map
With Juicebox, a recruiter can take the initial job description and requirements, launch an Agent, and quickly start seeing relevant profiles. For Scott, that first pass is valuable both for the candidates it surfaces and what it reveals about the search: who is in the market, how deep the talent pool is, and how the initial requirements translate into actual profiles.
“It immediately gives you a talent map of like what did it come up with? What sort of profiles did it think that I wanted? How far off was it? Because that's like a data point in itself, too.”
MaintainX uses Agents across sales and engineering, from mid-market AEs and account managers to full-stack developers and AI platform engineers. On highly specialized roles, that early view can quickly show the team where the strongest talent sits and how deep the available market is.
Bringing Market Data Into Hiring Manager Conversations
That early market signal becomes especially useful when a role has highly specific requirements.
For example, on a DevOps search requiring specialized federal experience in a limited geography, the available talent pool might narrow to just a handful of people. Juicebox can surface that constraint early, giving the recruiting team something concrete to bring back to the hiring manager.
Sasha has already put this into practice when an Agent suggested that a search could benefit from expanding geographically.
“The agent will literally come back and say, ‘You need to expand your locations.’ And I can copy paste it and send it to my hiring managers.”
Instead of discovering those constraints later in the process, recruiters can use what they’re seeing in Juicebox to help shape the search earlier. It gives them more information to advise hiring managers on where the market is strongest and how changes to location or requirements could open up the candidate pool.
Keeping Sourcing Running in Parallel
For Sasha, Agents have become part of the everyday rhythm of recruiting. With 16 Agents working across sales and engineering searches, recruiters can keep sourcing moving across multiple pipelines.
“The agent is definitely like my best friend. I use it every day.”
Scott sees an important distinction between manual sourcing and Agent-driven sourcing. A recruiter can sit down for an hour and find several strong candidates manually, but sourcing requires their attention for that entire hour. Once an Agent is calibrated, it can continue finding candidates while the recruiter moves on to interviews, hiring manager meetings, candidate conversations, or another search.
“Really what the whole point of this is, like you launch the Agent and you let it roll and then you're doing other things at the same time.”
The recruiter still defines what they need, reviews the market, refines the Agent, and decides which candidates should move forward. The difference is that candidate sourcing can keep moving alongside the rest of their work.
Looking Beyond Source of Hire
Scott doesn’t judge the impact of sourcing solely by which channel ultimately produces the hire. If multiple sourced candidates make it to the final stage alongside an inbound candidate, the team has evidence that it explored the broader talent market and gave the hiring manager a strong slate to compare.
“Maybe we're not hiring the Juicebox candidate, but the finalists were two Juicebox and one inbound. Now the hiring manager feels a lot better about hiring that inbound person because they see that we have two sourced candidates at the end.”
As Scott puts it, the team can feel confident that they’ve “hit that TAM.” That makes qualified pipeline and progression through the funnel important measures of sourcing impact alongside the eventual hire.
From Talent Map to Hire
One of Sasha’s hardest searches was for an AI platform developer, part of a foundational engineering team. She used an Agent to explore the market, then refined the search over a few rounds as she got a clearer picture of exactly what she needed.
“Maybe it took three tries for calibration and then it's ready to go after... the interface to calibrate with is just seamless.”
That process ultimately contributed to the team’s second AI platform developer hire. More broadly, MaintainX has attributed about five hires to Juicebox in roughly two months, while Scott has also seen Juicebox candidates consistently progressing into later interview stages.
A Better Way to Run the Search
Across sales and engineering, Juicebox has become part of how MaintainX recruiters approach a role from the start. Agents help them understand the available talent earlier, bring better information into conversations with hiring managers, and keep qualified pipeline building while they focus on the higher-touch parts of recruiting.
With 16 Agents working across the team, MaintainX can put that approach into practice across multiple roles at once. Recruiters get an earlier read on the market and a steady flow of candidates to work with, giving them more capacity to advise hiring managers, engage candidates, and move searches forward.
