Building More Capacity Into a Lean Recruiting Team

When SweetRush’s three-person recruiting team picked up 25 new roles in the span of roughly three days, every search came with the same expectation: move quickly.

The timing put their new sourcing workflow to the test almost immediately. SweetRush recently started using Juicebox to give recruiters a faster, more flexible way to find and engage candidates, particularly for subject matter expert roles that can be difficult to source through traditional channels.

The team was already accustomed to managing a wide variety of searches, but as hiring needs grew, they wanted a technology partner that could give recruiters more capacity without adding more manual work to every new role.

Three weeks in with Juicebox, SweetRush had already made eight hires.

“We sincerely all said that several times that entire week: I don't know how we would have done any of this without Juicebox.”

Looking for a More Flexible Way to Source

Before Juicebox, SweetRush relied on manual sourcing through a legacy platform alongside its existing ATS. Recruiters could find candidates, but searches often depended on predefined titles, fields, and filters that did not always reflect the specificity of the roles they were trying to fill.

Because SweetRush regularly recruits for niche subject matter expertise, recruiters Lauren Blood and Cathy Sands wanted more flexibility to describe what they were actually looking for, adjust requirements as they learned more about the market, and explore a broader candidate pool without losing the specificity of the search.

Cathy saw the difference firsthand while setting up a specialized subject matter expert search. Her initial requirements narrowed the potential market considerably, so Juicebox suggested keeping some aspects as criteria rather than hard filters. That opened up a much larger pool while still prioritizing the profiles that best matched the role.

Beyond the search capabilities, Lauren and Cathy also wanted a responsive partner they could rely on. Juicebox’s onboarding, training, and ongoing support have only reinforced that they made the right choice.

Building Pipeline With Search and Agents

It didn’t take long for Juicebox to become part of SweetRush’s default workflow:

“We're starting everything with Juicebox because it's so much more intuitive.”

The team now starts by defining the role in Juicebox, reviewing the market, refining its criteria, and then putting sourcing into motion. Their ATS stays connected to the process, giving recruiters visibility into candidates already in their system alongside new prospects.

That flexibility becomes especially valuable on searches where the right profile can be hard to find. Cathy described some of SweetRush’s subject matter expert searches as looking for “purple squirrels riding rainbow unicorns,” and Juicebox Agents give recruiters a way to begin building those pipelines while they continue managing interviews, hiring managers, and other open roles.

As a pipeline develops, recruiters can pause an Agent, shift it to another priority, and return to the original search later if needed. Outreach already underway can continue in the background, giving the team more flexibility to move sourcing support wherever demand is highest.

Because that outreach keeps moving in the background, the workflow also works well across time zones. When working in Europe, Lauren works six hours ahead of the US team, so she can finish her day with outreach underway and come back the next morning to new candidate responses already waiting for her.

Keeping the Human Touch While Automating the Admin

SweetRush puts a lot of emphasis on how candidates are treated throughout the recruiting process, and AI-assisted messaging helps the team maintain that experience as the volume of conversations grows.

When candidates respond to outreach, Juicebox can draft replies for recruiters to review and edit, including thoughtful follow-ups for people who decline the current opportunity but want to stay in touch. Rather than writing every response from scratch, recruiters can make quick adjustments where needed and keep conversations moving.

“It creates a beautiful response to them... all of the AI formulates well-written responses so that you don't have to sit there and type every single one.”

The result is a workflow that removes more of the repetitive admin while preserving the personal touch SweetRush cares about. Recruiters stay in control of the conversation, but spend less time drafting routine responses and more time engaging candidates directly.

More Hiring Capacity, Almost Immediately

Within three weeks of adopting Juicebox, SweetRush had already made eight hires sourced through the platform. Several came from the highly specific searches where the team relies on Juicebox to identify and engage talent beyond the pools they would typically reach through manual sourcing alone.

The bigger shift is in how much hiring activity the team can support at once. Search helps recruiters quickly understand and refine a talent market, Agents keep pipeline building in the background, and AI-assisted messaging makes it easier to manage candidate conversations as volume increases.

“The time savings alone from what we're getting out of Juicebox is priceless.”

With more of the sourcing workflow supported by Juicebox, SweetRush’s recruiters can take on more searches while keeping their attention on candidate conversations, hiring manager partnership, and the human judgment that ultimately moves a search forward.
